SuiteStory (Pty) Ltd ("SuiteStory", "we", "us") provides a marketing platform for small businesses and agencies, including a website builder, email marketing, lead management, email signatures, reporting and an AI assistant. This policy explains what personal information we process when you visit suitestory.co.za, create or use a SuiteStory account, or connect your Google account to SuiteStory, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).

1. Our role

• For our own website, sign-ups and billing, SuiteStory is the responsible party for the personal information described below.
• For the data our customers put into their SuiteStory accounts (for example their website visitors, leads, mailing list subscribers and guests), the customer is the responsible party and SuiteStory acts as an operator, processing that information only on the customer's instructions and to provide the service. If you are a customer's own contact and want to access or correct your information, please contact that business directly.

2. Information we collect

• Account information: your name, business name, email address, telephone number, login credentials (passwords are stored hashed) and the users you add to your account.
• Billing information: plan, invoices and payment status. Card details are handled by our payment providers and are not stored by SuiteStory.
• Information you send us: enquiries, support requests and the content you create in the platform.
• Usage and technical information: log data such as IP address, browser, pages used and the time of activity, used to run, secure and improve the service.

3. How we use information

• To provide, secure, support and improve SuiteStory, and to bill for it.
• To communicate with you about your account, service changes and, where you have agreed, product updates. You can opt out of marketing at any time.
• To comply with legal obligations and to prevent fraud and abuse.

We do not sell personal information.

4. Google user data

SuiteStory lets a customer connect their own Google account so that they can see how their own website is performing and manage their own business listing. When an authorised user signs in with Google and approves access, SuiteStory may access, depending on the integration the customer chooses to turn on:

• Google Search Console (read-only): search performance data for the customer's own website, such as queries, clicks, impressions and pages.
• Google Analytics (read-only): traffic and engagement statistics for the customer's own website.
• Google Business Profile: the customer's own business locations and the reviews left on them, so the customer can read and reply to those reviews from SuiteStory.

We use this information only to show reports to, and perform the actions requested by, the customer who connected the account, inside that customer's SuiteStory account. Google user data is stored encrypted, is visible only to the customer's own users (and to our support staff when the customer asks us for help or where needed for security or to comply with the law), and is never sold or used for advertising or to build user profiles. Customers can disconnect an integration inside SuiteStory at any time, and can revoke SuiteStory's access at myaccount.google.com/permissions.

AI features. If a customer uses the AI assistant, selected information from their own account, which can include their top search queries from Search Console, may be sent to our AI service provider solely to generate the content the customer asked for. We do not use Google user data to develop or train generalised AI or machine-learning models.

SuiteStory's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Who we share information with

We share information only with service providers that help us deliver SuiteStory and are bound to protect it, such as hosting, email delivery, payment, AI and analytics providers, and with authorities where the law requires it. Some of these providers process information outside South Africa; where that happens we take steps to ensure your information remains protected as POPIA requires.

6. Cookies

We use cookies that are necessary to keep you signed in and to secure the service, and, on our public website, basic analytics. You can block cookies in your browser settings, but parts of SuiteStory may then not work.

7. Security and retention

We use reasonable technical and organisational safeguards, including encryption of integration credentials and access controls, to protect personal information. We keep information only for as long as it is needed to provide the service or as the law requires; when an account is closed, its data is deleted or de-identified within a reasonable period, except where we must retain records such as invoices.

8. Your rights

Under POPIA you may ask us to confirm whether we hold your personal information, to access, correct or delete it, to restrict or object to its processing, and to withdraw your consent. Email admin@suitestory.co.za to exercise these rights. You may also complain to the Information Regulator (South Africa) at inforegulator.org.za.

9. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
