Email Signatures

Design one signature template — logo, brand colours, a QR-code vCard — and it syncs to every team member automatically, with photos and contact details pulled straight from Microsoft 365. Assignment rules pick the right template per person based on their department, office, job title or email address, evaluated top to bottom until one matches, with a default fallback for everyone else.

How it compares

Exclaimer is the market leader for signature management and does an excellent job for organisations fully on Microsoft 365 or Google Workspace — it applies signatures server-side, so they're consistent across every device. The trade-off is that this server-side approach only works for tenants on those two ecosystems. SuiteStory's signatures apply through your own outbound mail relay instead, which means they work on any mailbox — including plain POP or IMAP accounts that a Microsoft-365-only or Google-Workspace-only tool simply can't reach. If your business runs a mix of mailbox types, or hasn't moved everyone onto M365 yet, that's the practical difference. CodeTwo and WiseStamp are the other names worth knowing in this space — both are also M365/Google-Workspace-centric.

What's included

  • A real drag-and-drop signature builder: text, photo + details, images, tables, social icons, QR codes
  • Assignment rules by department, office, job title or email, organised into folders, evaluated in order
  • Automatic sync of names, titles and photos from Microsoft 365 / Entra ID
  • QR-code vCards built in, so a signature doubles as a digital business card
  • Works on POP/IMAP mailboxes as well as Microsoft 365 and Google Workspace

Integrations that plug in

The Office 365 / Entra ID connection that powers signature photo sync is the same one used for staff directory imports elsewhere in the platform. No second Azure app registration, no second consent screen.
